Examples of sensitive personal data: Religious expression, physical impairment, racial or ethnic origin, criminal record checks

Use of your Personal Data

Henry Wiltshire does not collect personal data from you unless it is voluntarily provided and therefore in providing your information you consent for us to use it, in the course of our business, as set out in this policy.

We use the data provided by you in the following ways:

  • to conduct a sale on behalf of a vendor
  • to conduct a letting on behalf of a landlord
  • to progress a sale for a buyer
  • to conduct a tenancy on behalf of a tenant
  • to send you information on properties similar to your requests for property information made via our website or portals

With your additional direct consent we may use your data in the following ways:

  • To provide you with information and changes regarding our services
  • To provide you with general information on the property industry
  • To provide you with property market updates and newsletters
  • To introduce relevant third parties to assist you in the property process

If you have provided your contact details we may contact you using the information provided however we will not contact you with direct marketing unless you have expressly and separately consented for us to do so.

Where you have given your express consent to do so, we will provide your data to a third party associated company for example:

  • Solicitors

Our Legal Requirements to Provide Data

We may provide your data if we are under a duty to disclose your personal data in order to comply with a legal obligation.  This includes providing the data to organisations and companies for the purposes of fraud protection and credit risk reduction.

Your Right to your Information & Right to be Forgotten

You have a right to access all data that we hold which is associated to you, you will need to request this in writing to the Data Protection Officer and we will provide this information as quickly as possible upon request and there will be no fee for this request.

You also have a right for your personal data to be deleted however we will inform you if there is any data which we must hold under industry standards or laws, please put this request in writing to the Data Protection Offices (contact details above) and we will respond confirming the final position.

Storing your Data

Personal identifiable information which we hold is labelled and stored in a cloud, it is encrypted both at rest and in transit, we also use secure GDPR compliant industry platforms to hold and process your data in the course of our business.  We have password protected systems and restricted rights and access so that only the relevant persons within the company can access your data. We are also incorporating multi-factor authentication to further protect your data.
